We were approached by our regular client ADCO to design, implement and manage their entire entertainment and event management program for their annual family day event, held in the gardens of the Armed Forces Officer’s Club in Abu Dhabi on February 28th, 2009.

Traditionally playing host to some 6,500 staff and familiy memebers, the event is a major logistic challenge which required us to:

• Plan and implement the ingress and egress for cars and courtesy buses
• Design and mark out 3,000 individual car park spaces on a large gravel area
• Provide entry arches and balloon pillars to add a festive look to the site
• Supply some 40 shade tents for people to eat and rest under as well as those required for certain entertainments
• Provide 100m walling as a sight screen to segregate a ladies area
• Provide emergency exit, accident and event risk analysis and recommendations

Additionally we sourced, implemented and managed the provision of a large variety of entertainment features aimed at all age groups for the event, including;

• Stage shows
• Bouncy castles and slides
• Craft workshops
• Face painters and body art workshops
• Magic shows and walkabout entertainment
• Team games for adults and children
• Freej character walkabouts
• Fairground game stalls
• Climbing wall
• Caricaturists
• Balloon sculptors and clowns
• A bungee trampoline
• Popcorn and candy floss vendors
• Bilingual disk jockey and compare
• All sound production including technicians for the stage show and general site PA system

Our biggest challenge during this event was to deal with the worst sand storm to hit the UAE in 35 years, which ravaged the entire event. However, due to our sound forward planning, an effective crisis management plan and lots of hard work, the event went ahead smoothly and everyone enjoyed a safe and fun day out.
